•position: secretary/ office-manager.
Key responsibilities:
•Administrative responsibilities related to Chief work. Organize and mentor the office team
(сoordinate of Cleaning Ladies, guard, household-keeper and receptionist work, update
Company driver calendar, take part in OM budgeting). Keeping records of the household goods and office maintenance items (procurement and supplies of household, stationary, water and kitchen supplies);
•Secretarial and office management duties, reception coaching (prepare correspondence, telephone calls answering, faxes and other information. Managing the front door pass card system. Creating database of customers, suppliers, consultants etc.).Communicated with customers, employees and other individuals;
•Travel administrator: preliminary consultation, collecting set of documents for successful visa applying and receiving in the shortest possible time, Invitation Letters, booking tickets, driver’s scheduling, related services: air tickets booking, medical insurance supplying, and organization of timely transportation;
•Welcome company’s visitors. Supporting and organization of accommodation, transportation, business lunches, meetings and general sightseeing trips;
•Team building planning and coordinating, assistance in HR area (organize seasonal events for the company). Update the website on a daily basis;
•Catering maintenance (Register catering participants, update catering users data, control quality of food and terms of delivery, improve catering service). Provide company employees with a standart set of food, monthly orders of office stationery items, provide meetings, trainings with necessary equipment;
•Manage relationship with the company’s partners, counterparts, agencies to ensure mutual and beneficial cooperation;
•Expats supporting with process of registration, accommodation and rent payment.
Additional information:
•Comfortable with the usage of office equipment and PC : MS-Office (MS - Word, MS Excel,
Outlook and other mailing systems), Internet (Searching, Browsing & Mailing etc.),
normative bases (Liga, Rada, MD Info (custom’s programs.)).
•Time management skills, knowledge in official etiquette, basis of marketing and main principles of bookkeeping.
•English - good, French – basic.
•Availability of documentation of Private Enterprise
Education:
2002. - 2007.– Interregional Academy of Personnel Management in Mariupol city
