Secretary Marketing
Information about a company: large foreign production company, working at FMCG market, one the leaders in the segment.
ACCOUNTABILITIES:
• Organize and execute all required clerical and administrative tasks within the Marketing Department in order to ensure smooth functioning and appropriate information flow within and between departments, offices and Regional HQ, as well as with clients and other external organizations and persons.
• Ensure adequate supplies office materials and equipment within budgeted costs.
• Co-ordinate meeting schedules and participants, including the circulation in advance of agendas, briefs etc.. Co-ordinate the departmental driver’s schedule.
• Monitor and take action on the incoming and outgoing correspondence of the Marketing Director, including logging incoming and outgoing mail, the composing, typing and sending out of routine notes and letters not requiring the Marketing Manager’s approval / signature and the drafting against guidelines of letters and notes dealing with more complex issues.
• Manage the departmental calendar with meetings, appointments, business trips as well as vacation and illness of department members.
• Maintain and up-to-date the Marketing Department files in line with management requirements and ensure that all documents are appropriately referenced and easily accessible.
• Act as the departmental receptionist for visitors; ascertain the requirements of visitors without an appointment and take appropriate action in co-ordination with the relevant member of staff.
• Provide full travel support (ticket reservations and buying, hotel reservation, pick-up arrangement, visa receiving, etc.) for Marketing Director and staff, as well as provide logistics support (hotel booking, pick-ups arrangement) to visitors to Marketing dept. arriving to Kiev
QUALIFICATIONS:
• Higher Education (marketing is preferred);
• Previous experience as a secretary/personal assistant;
• Computer skills: Advanced user of MS Word, MS Excel, Power Point, Outlook;
• Experience with special equipment: Faxes, Xeroxes, Printers;
• English language (Advanced level);
• Ukrainian language (Advanced level);
• Perfect secretarial and administrative skills.
Salary – 900 y.e + standard social package of the company.
